Projektbeschreibung

Within the XX Group Procurement department, the “Contract & Claim Management” team is a centralized function for managing relationships with contractors for large investment projects over the entire project life cycle. The Contract & Claim Manager (CCM) can be involved from the start of the project (including the preparation of tender and contract documents, negotiations with the supplier, etc.), but will be fully responsible for his/her assigned contract(s) during the execution phase.

During the execution phase, the CCM is responsible – with the Project and Package Managers – for managing the contracts concluded with suppliers regarding performance, costs, deadlines, handling of complaints and all commercial and legal aspects. This person will be supported in their role by the technical project team, corporate lawyers and other relevant departments within the XX Group or external consultants. The current position focuses on supplier contracts for the design, production and installation (mainly offshore) of submarine cable systems for the X Island project.

In addition to tendering and negotiating contracts, the purchasing department of XX Group also ensures a process that ensures that the contracts are executed as agreed and this by actively managing the relationship between the customer and the supplier.

Main tasks of the Contract & Claim Management service:

- Support and consult the Package Managers/Project Manager in all contractual and commercial aspects to ensure the success of the construction project at all levels of the project life cycle.
- Develop and manage the project claim strategy in cooperation and coordination with Project Management.
- Proactively handle and manage variations and claims in consultation with the project team. Actively defend and administer Elia Group’s contractual rights.
- Write and manage contractual and commercial correspondence and documentation towards the contractor.
- Appropriately manage contractual risks, disputes and resolve them.
- Process commercial aspects and documents (including payment deadlines, price adjustments, etc.).
- Manage contractual deliverables on time and administrate with a focus on quality and costs. In the event of problems, take corrective measures with the Package Manager and align on the “way forward” with contractor.
- Prepare management and status reports (including KPI monitoring).
- Moderate interfaces between contractor and teams, particularly in cases of escalation or cooperative problem solving, identifying opportunities to create win-win situations.
- Follow up on claims and continually deal with disputes in close collaboration with Project Management and, as the case may be, the legal department.
- Provide necessary feedback to internal departments, the CCM team and buyers in order to prevent future problems (lessons learned).
- Manage (and co-develop) Excel tools to administrate price revisions (e.g. indices) active on the contract(s).
- Build the knowledge base within the department.

Requirements:

- a Master's degree with a commercial, legal or technical orientation (civil or industrial engineer, etc.).
- 3 to 5 years of experience in a similar function (contract management) and have in-depth knowledge of international partner management.
- like to work independently in a project management mentality and you must be able to handle internal and external disputes.
- have a strategic direction and a broader vision of the overall project objectives, which you integrate into your daily work.
- particularly analytical mind with an attitude oriented towards problem solving and solutions, which allows you to quickly obtain substantiated results.
- able to communicate in an assertive and structured manner, particularly in an international environment.
- very good level of English with excellent writing skills.
- Experience in the following areas is an asset:

- Advanced skills in Contract and Claim Management and/or Project Management.
- Commercial background in carrying out large projects (turnkey/EPCI/framework contracts) and experience in negotiation.
- Experience in offshore investment projects (production and installation of offshore cables, offshore platforms, etc.).
- Knowledge of contractual dispute and resolution (de-escalation) mechanisms.
- Sufficient skills in Microsoft Office, notably Word, Excel and PowerPoint.
